General Booking Terms and Conditions

Your choice to journey with SALKANTAY TREKKING fills us with gratitude. Our utmost commitment is transforming your holiday into a pinnacle of cherished memories. To ensure a seamless experience, please take a moment to carefully review the policies, terms, and conditions outlined below. Your cooperation and understanding are crucial for the adventures that lie ahead.

Acceptance of Our Terms and Conditions:

By making a reservation through our website, via email, or in person, you acknowledge and agree to these Terms and Conditions. Any participation in our services will be considered as acceptance of this agreement.

Modification to These Terms:

Salkantay Trekking holds the right to update or modify these terms of use without prior notice. The customer is responsible for regularly reviewing our terms and conditions to ensure they are aware of any changes.-

Reservation Confirmation:

After a client makes a reservation request, its confirmation is contingent upon payment verification based on the request. This will specify all included and excluded services. If no explicit response or objection is received from the client following our communication, it is assumed that our terms and conditions are accepted. Consequently, Salkantay Trekking holds no responsibility for any misunderstandings or unforeseen circumstances arising from this.

Note: Please ensure you thoroughly read, understand, and agree with our terms and conditions before confirming your reservation with Salkantay Trekking.


1. BOOKINGS

Booking Your Trip: You can reserve a trip with SALKANTAY TREKKING by contacting us in the USA / CANADA at toll-free +1 (800) 986-4304 or by email at info@salkantaytrekking.com

Website Bookings: If booking directly through our website, ensure you provide all the required passport details, including full name, passport number, date of birth, nationality, and gender. Once we confirm your payment, we'll check availability and secure the needed permits.

Note: Your tour will be considered 100% confirmed only after you receive a written confirmation from SALKANTAY TREKKING.


2. RESERVATION POLICIES FOR SALKANTAY TREKKING

Initial Deposit: To secure a reservation for a Tour and Trek with SALKANTAY TREKKING, clients must make a non-refundable deposit (The amount will vary depending on the itinerary reserved by the client). This deposit can be paid using either PayPal or Credit/Debit Card. Please note that the traveler will bear a 5% merchant fee, applicable for both payment methods. Once a reservation has started, the client is deemed to have carefully read and agreed to the Terms and Conditions of SALKANTAY TREKKING.

Reservation Confirmation: The reservation is confirmed and binding from the date SALKANTAY TREKKING acknowledges receipt of the client’s deposit. At this juncture, a mandatory contractual agreement is established between the client and SALKANTAY TREKKING.

Shared Responsibility: All individuals listed in the reservation are jointly accountable to the agreement with SALKANTAY TREKKING. The individual signing the contract represents every person named in the reservation. This means that all parties are informed and in agreement with SALKANTAY TREKKING's Terms and Conditions.

Required Information for Reservation: Along with the non-refundable deposit, we require the submission of specific personal details: full name, passport number, gender, nationality, and date of birth during the reservation process.


3. REQUIRED DEPOSITS FOR TOURS

The deposit amount depends on the specific itinerary chosen by the client. The details are as follows:

Inca Trail:

  • Deposit: US$ 400.00 per person.
  • Note: Deposits are non-refundable and non-transferable. No exceptions.

Salkantay Trek:

  • Deposit: US$ 200.00 per person.
  • Note: Deposits are non-refundable and non-transferable. No exceptions.

Alternative packages of more than 4 days:

  • Deposit: US$ 400.00 per person.
  • Applies to: Salkantay Trek and Inca Trail, Choquequirao to Machu Picchu, Machu Picchu & Rainbow Mountain, Cusco Highlights, etc.
  • Note: Deposits are non-refundable and non-transferable. No exceptions.

Alternative Treks of more than 3 days:

  • Deposit: US$ 200.00 per person.
  • Applies to: Ausangate, Lares, Huchuy Qosqo, Choquequirao, Inca Jungle, Ancascocha, and Inca Quarry.
  • Note: Deposits are non-refundable and non-transferable. No exceptions.

1 Day Tours and Hikes:

  • Single Deposit: US$ 100.00 per person.
  • Applies to:
    • Rainbow Mountain One-Day Tour
    • Humantay Lake One-Day Tour
    • Palccoyo Rainbow Mountain 1-Day Tour
    • Ausangate 7 Lakes 1-Day Hike
    • Waqrapukara One-Day Tour
    • Huchuy Qosqo One-Day Tour
    • Pallay Punchu One-Day Tour
    • Sacred Valley of the Incas Full Day Tour
    • Super Sacred Valley of the Incas Tour
    • Maras Salt Mines and Moray Full-Day Tour
    • Qeswachaka Bridge One Day Tour
  • Note: Deposits are non-refundable and non-transferable. No exceptions.

City Tour in Cusco:

  • Single Deposit: US$ 30.00 per person.
  • Deposits are non-refundable and non-transferable. No exceptions.

Note: We advise clients to carefully read and understand the deposit requirements before placing a booking.


4. PAYMENT POLICIES


1. Accepted Payment Methods:

  • For initial deposits and final payments, we accept Cash, Credit or Debit Cards, and PayPal.
  • No traveler can start the tour unless the payment has been fully settled.

2. Balance or Final Payment:

  • Balance payments must be made at least 2 days (48 hours) before your tour. Payments can be made in cash, Paypal, or Debit/Credit Card.
  • Paypal and card payments have a 5% service transaction fee.

3. Cash Payments:

  • Cash payments must be made at least 2 days before your tour.
  • We accept both US Dollars and Peruvian Soles for cash payments.
  • Please note: Bills that are ripped or torn, regardless of the size of the damage, will not be accepted.

4. Bank Commissions:

  • All associated bank commissions or transaction fees will be the client's responsibility.

5. CANCELLATION AND REFUND POLICIES


1. Cancellation Request:

  • All cancellation requests must be formally submitted via email directly to your travel advisor.
  • The request should be made by the person who originally placed the reservation and made the initial deposit.

2. Initial Deposit:

Unfortunately, all primary deposits are 100% non-refundable and non-transferable under any circumstances. Even if there’s a medical emergency, your deposit remains non-refundable (we do not accept medical notes or documentation as proof for refunds). This is because we allocate these funds to secure your permits, entrances, and proceed with reserving your campsites, hotels, and trains, all of which are non-refundable to us. Please note that there are no exceptions to this policy.

3. Change of Dates

If you change the date, you will be required to pay a penalty of USD $100.00 per person. Please note that this fee does not go to us; rather, we need to purchase new tickets since we have already secured all the tickets for your original date, and they will be forfeited.

If you have made requests for additional tickets, such as Huayna Picchu, Huchuy Picchu, or Machu Picchu Mountain, please be advised that an additional penalty will apply.

It's important to be aware that tickets for Machu Picchu and others are non-refundable and non-transferable.

4. Cancellation Fees

Cancellation by Fees Due
If canceled 6 weeks (42 days) before your start date 60% of the TOTAL TOUR COST is due
If canceled 2 weeks (14 days) before your start date 80% of the TOTAL TOUR COST is due
If canceled within 7 days of your tour 100% of the TOTAL TOUR COST is due.

5. Additional Considerations:

  • If a client decides to end the trek after it has started, no refunds will be provided. The client will bear any extra expenses that result from this decision, including food, lodging, and transportation. However, they are welcome to rejoin the group for the Machu Picchu tour on the final day (where applicable).
  • If a client is unable to embark on the trek due to health or physical issues, no refunds will be provided. Similarly, the client will be responsible for subsequent costs like food, accommodation, and transport. The client can rejoin the group for the Machu Picchu tour on the final day (where applicable).
  • In the event of natural disasters or unforeseen circumstances that prevent a service from being fulfilled, customers will receive a 50% refund, considering administrative expenses. Refunds will not be provided if such events cause alterations in the trek route.
  • In the event of global pandemics, refunds will not be issued if a service cannot be provided under these circumstances. Instead, clients will be offered an open ticket, allowing them to use the service on an alternative date, subject to availability.
  • Absence from informational meetings will be considered a no-show.
  • Failure to participate in a scheduled tour will also be considered a no-show. There will be no refunds for no-shows under any circumstances.
  • There are no refunds for omitted services included in your trek.

6. INCA TRAIL TOURS POLICY


1. Permits:

When you book an Inca Trail tour, you secure a specific permit exclusively in your name. The following points are essential to note:

  • Non-transferability: Once obtained, these permits cannot be transferred to any other individual.
  • Non-refundable: These permits are non-refundable. If, for any reason, you cannot undertake the trek, your deposit for the permit will be forfeited.
  • No Change of Dates: Post-purchase, it is impossible to change your permit dates.
  • Government Regulations: Please be informed that Salkantay Trekking (or any other travel agency) does not determine these conditions. They are regulations enforced by the Peruvian Government.

2. Alternative Arrangements:

If, due to unexpected reasons like natural disasters, the "Inca Trail to Machu Picchu" is declared closed, Salkantay Trekking will provide an alternative trek to ensure your experience remains intact.

  • Student discounts apply to anyone 17 years old or younger, and we need a copy of their valid passport at booking time.

7. MEDICAL INFORMATION AND RESPONSIBILITIES


1. Mandatory Disclosure:

When booking, travelers must inform Salkantay Trekking of any existing medical conditions, allergies, or specific health concerns.

2. Health and Fitness:

Participants should be in optimal physical condition. If you have any doubts about your health, please consult with your physician. If you're over 70, a current medical certificate confirming your good health will be required.

3. Assessing Tour Suitability:

You are responsible for determining if a tour is appropriate for you, considering your medical history, current condition, and physical abilities. Please consult your doctor for medical guidance, vaccination recommendations, and other preventive measures. Salkantay Trekking does not provide medical consultations or advice.

4. Participation Rights:

Salkantay Trekking retains the discretion to deny any individual the right to travel or participate in specific tour activities if their physical or mental condition is deemed unsuitable for the trip or poses a risk to themselves or others.

5. Pregnancy Disclosure:

Pregnancy is classified as a medical condition and must be disclosed at the time of booking. Salkantay Trekking may decline to accept pregnant women or those with specific medical conditions if appropriate accommodations or alternatives can’t be ensured.

6. Travel Insurance:

We strongly advise all travelers to obtain comprehensive travel insurance. This can offer protection in medical emergencies, tour cancellations, or other unexpected events during the trip.

7. Your Health Is Our Priority:

Salkantay Trekking places high importance on the safety and well-being of its clients. We urge all travelers to be transparent about their health status and to make informed decisions about their ability to embark on our tours.


8. TOURS AND TREKS TERMS AND CONDITIONS


1. Pricing:

Prices are set per person based on shared accommodation for two (including hotels, campsites, and tents). Solo travelers may be paired with someone of the same gender. Personal tent or room requests may result in an additional charge.

2. Payment and Service Fees:

Balance payments must be made at least 2 days (48 hours) before your tour. Payments can be made in cash, Paypal, or debit/credit card.

Note: Payments by Credit/Debit cards and PayPal incur a 5% extra fee. Please review the PAYMENT POLICIES section for detailed information.

3. Guidance and Group Dynamics:

By joining a Group Tour, you understand that the group's pace and timings may differ due to individual capabilities. If you wish to explore different areas on your own or face issues during the tour or guide's services, please address the guide immediately for resolution.

4. Transport and Itinerary:

All Adventure Treks ensure transportation back to Cusco, with the return train route (subject to availability). Salkantay Trekking might adjust your itinerary if deemed necessary.

5. Health and Safety on the Trail:

If a participant becomes ill or injured and is unable to continue, a porter or staff member will escort them to a location where emergency assistance is available. The traveler will be responsible for any expenses incurred for helicopter airlifts and medical treatment. If illness prevents the completion of the tour, we will assist in rejoining the group at Machu Picchu (where applicable), but additional fees will apply. No refunds will be provided for the initial payment. However, we can provide a formal certification of illness for travel insurance purposes if needed.

6. Responsibilities and Liabilities:

Salkantay Trekking ensures the safety of our clients, hiring highly qualified professionals who take preventive measures to avoid accidents, illnesses, and personal property loss. We hold ourselves accountable for our employees' actions but cannot be held responsible for the actions of third parties. Therefore, we advise our clients to oversee their personal and rented items for added safety.

Salkantay Trekking is not responsible for unfavorable weather, natural disasters, strikes, accidents, health issues, personal item loss, etc. Clients should have insurance covering these eventualities. We hold the right to change or cancel programs due to unforeseen adverse conditions.

7. Passport and Visas:

Travelers must ensure their passports are valid for a minimum of 6 months after their travel dates and have the necessary visas. Salkantay Trekking is not responsible for any issues related to passports or visas.

If you are renewing your passport, please contact us as soon as possible and send us a photo of both the old and new passport. Failure to update may result in denial of entry to Machu Picchu and other sites if you have booked beforehand.

8. Group Size and Tour Language:

Tours are primarily bilingual and conducted in English and Spanish. Tours have up to 12 participants from all ages and skills. Group size is subject to future changes.

9. Gratuities:

While tipping remains voluntary in Peru, guidelines are offered in your concluding travel documents during the briefing session the day before your tour.

10. Hotel Accommodations Conditions:

These conditions apply only for accommodations in Cusco and Aguas Calientes.

  • Standard Twin Rooms:

    By default, we assign accommodations in standard twin rooms. Rooms are equipped with two beds and private amenities, ensuring your comfort and privacy.

  • Double-bed Rooms:

    If you prefer a room with a double bed, please specify this requirement when making your reservation. We will check for availability and make the necessary arrangements.

  • Upgrades and Special Requests:

    Hotel upgrades are available to enhance your stay. Please notify us in advance about any upgrades or specific requirements. We strive to accommodate your needs to the best of our abilities, ensuring an enjoyable stay.

  • Single Supplement:

    Travelers who opt for a single room occupancy will need to pay an additional fee of USD 50.00 per night. This ensures that you have room for yourself.

We aim to provide a welcoming and comfortable atmosphere during your stay. Kindly inform us in advance about any preferences or requests, and we will do our utmost to fulfill them.

11. Assumption of Risks:

Adventure and exploration have associated risks. These risks can be caused by but are not limited to natural forces, animals, insects, and vegetation. By proceeding with your booking, you acknowledge these potential risks. Your decision to join any of our tours indicates your voluntary acceptance and understanding of these risks.

12. Limitation of Liability:

Salkantay Trekking’s financial responsibility to its customers is strictly confined to the total amount they have paid to the company. Beyond this monetary cap, Salkantay Trekking shall not be held accountable for any direct or indirect damages, losses, or costs incurred by the customer unless explicitly specified in these Terms and Conditions.

13. Applicable Law:

All interactions, transactions, and potential disputes resulting from the use of this website or any engagement with Salkantay Trekking will be subject to the Legal Jurisdiction of Peru. By using our services, you, the client, consent to the jurisdiction and governance of Peruvian courts for any issues or disputes that may arise.

14. Right To Use Images:

By participating in any of the activities offered by Salkantay Trekking, the client expressly grants permission to Salkantay Trekking to capture and use any images, photos, and videos taken during the tour for promotional, advertising, and any other marketing purposes. This includes, but is not limited to, usage in brochures, online marketing, and social media platforms.

The client acknowledges that they will not receive any financial or otherwise compensation for using such images, photos, or videos. This consent is given freely and without expecting any return or benefit.

However, If the client does not want Salkantay Trekking to use their tour images for promotional purposes, they must inform their Experience Designer via email before the trip.
